Terms & Conditions Organized by SHEM Consulting Inc.

 

By registering for Beyond the Monuments: A Women’s Journey Through Egypt (“the Journey”), each participant acknowledges that she has read, understands, and agrees to the following Terms & Conditions.

 

1. Registration and Confirmation Submitting a registration form does not by itself guarantee a place on the Journey. A $1,500 USD deposit must be received within 72 hours of registration to secure your place. Registration is considered confirmed only after the deposit has been received and confirmation has been issued by SHEM Consulting. Full payment may be made at any time. The remaining balance must be received no later than September 30, 2026. Failure to make required payments by the applicable deadlines may result in cancellation of the reservation and release of the participant’s space.

 

2. Pricing and What Is Included The Journey price includes only those accommodations, meals, ground transportation, activities, admissions, guides, and other services specifically identified as included in the published itinerary. Unless specifically stated otherwise, expenses such as international airfare, passport and visa expenses, travel insurance, personal purchases, optional activities, medical expenses, excess baggage fees, gratuities, and other personal expenses are not included. Participants are responsible for reviewing the published itinerary and inclusions before registration.

 

3. Cancellation & Refund Policy We understand that plans can change. At the same time, organizing an international group journey requires SHEM Consulting and its travel partners to make advance financial commitments for hotels, transportation, guides, activities, venues, and other services. All participant cancellation requests must be submitted *in writing*. The effective cancellation date will be the date SHEM Consulting receives the written cancellation request. Deposit The *$1,500 USD deposit is nonrefundable once the participant’s place has been confirmed. The deposit will be applied toward the total cost of the Journey. Cancellation Schedule If a participant chooses to cancel: Through August 31, 2026: Payments made will be refunded, less the $1,500 nonrefundable deposit. September 1 through September 30, 2026: The $1,500 deposit remains nonrefundable. 50% of payments made above the deposit will be refunded. Beginning October 1, 2026: All payments are nonrefundable. Any refund otherwise due may also be reduced by nonrefundable amounts already committed or paid to hotels, transportation providers, guides, tour operators, attractions, or other third-party suppliers on the participant’s behalf, to the extent permitted by applicable law. Final Payment The remaining trip balance is due no later than September 30, 2026. If final payment is not received by the deadline, SHEM Consulting reserves the right to treat the reservation as cancelled and release the participant’s place, subject to the cancellation provisions above. No Refunds for Unused Services. No refunds or credits will ordinarily be provided for unused portions of the Journey resulting from a participant’s late arrival, early departure, missed transportation, decision not to participate in an included activity, or voluntary withdrawal after the Journey has begun.

 

4. Travel Insurance Participants are strongly encouraged to purchase comprehensive travel insurance promptly after making their deposit. Participants should consider coverage that includes: Trip cancellation and interruption. Emergency medical expenses outside the United States. Emergency medical evacuation and repatriation. Travel delays or interruptions. Lost, stolen, or delayed baggage. Other unexpected circumstances affecting international travel. Each participant is responsible for reviewing and understanding the terms, exclusions, deadlines, and coverage of any insurance policy purchased. SHEM Consulting does not provide travel insurance and cannot guarantee that a particular loss, cancellation, medical expense, or other circumstance will be covered by a participant’s insurance policy.

 

5. Passports, Visas and Entry Requirements Each participant is responsible for obtaining and maintaining a valid passport and any required visa, authorization, documentation, or other requirement necessary to enter and depart Egypt or any other applicable destination. Participants are responsible for determining the requirements applicable to their individual nationality, citizenship, residency, and circumstances. Failure to obtain required travel documents does not automatically entitle a participant to a refund.

 

6. Health, Mobility and Accessibility International travel may involve significant walking, stairs, uneven surfaces, changes in temperature, extended periods of transportation, and visits to historic locations where accessibility standards may differ from those in the United States. Participants are responsible for determining whether they are able to participate safely and comfortably in the Journey. Participants are encouraged to inform SHEM Consulting in advance of dietary requirements, mobility needs, allergies, or accessibility accommodations that may affect their participation. SHEM Consulting will make reasonable efforts to communicate and address such needs where feasible but cannot guarantee that every hotel, historic location, transportation provider, restaurant, or activity can accommodate every request. Participants should consult an appropriate healthcare professional regarding their individual fitness for international travel when necessary.

 

7. Medical Care and Emergencies Participants are responsible for their own medical needs, medications, medical expenses, and healthcare arrangements while traveling. Participants should bring an adequate supply of necessary medications and carry them appropriately during travel. In the event of an emergency, SHEM Consulting and its representatives may assist in contacting local emergency services, medical providers, insurers, or the participant’s designated emergency contact when reasonably possible. Any medical treatment, hospitalization, evacuation, transportation, or related expense remains the participant’s responsibility unless covered by insurance or another responsible party.

 

8. Emergency Contact Information Participants may be required to provide current emergency contact information and other information reasonably necessary for the administration and safety of the Journey before departure. Participants are responsible for ensuring that this information remains accurate and current.

 

9. Itinerary Changes International travel occasionally requires adjustments because of weather, transportation disruptions, governmental actions, security considerations, site closures, local conditions, supplier availability, or circumstances outside the organizers’ reasonable control. SHEM Consulting reserves the right to make reasonable modifications to the itinerary, accommodations, transportation, activities, guides, or schedule when necessary for operational, logistical, cultural, or safety reasons. When reasonably possible, comparable alternatives will be arranged. Minor itinerary modifications do not constitute cancellation of the Journey and do not automatically create a right to a refund.

 

10. Third-Party Suppliers Certain portions of the Journey may be provided by independent third parties, including hotels, transportation companies, airlines, guides, restaurants, tour operators, attractions, and other service providers. These providers are independent entities and may maintain their own terms, rules, operating procedures, and cancellation policies. To the extent permitted by applicable law, SHEM Consulting is not responsible for acts, omissions, delays, cancellations, accidents, losses, or other circumstances caused by independent third-party providers that are outside SHEM Consulting’s reasonable control. Nothing in these Terms & Conditions is intended to waive rights or protections that cannot legally be waived.

 

11. Circumstances Beyond Reasonable Control Events outside the reasonable control of SHEM Consulting may affect the Journey. These may include severe weather, natural disasters, epidemics or public-health emergencies, governmental restrictions, political or civil disturbances, strikes, transportation interruptions, closures, or similar extraordinary circumstances. If such circumstances require the Journey to be changed, postponed, interrupted, or cancelled, SHEM Consulting will communicate with participants and make reasonable efforts to recover or obtain credits for funds paid to suppliers. Any refund or credit may depend upon amounts actually recoverable from third-party providers and applicable law.

 

12. Cancellation or Postponement by SHEM Consulting SHEM Consulting reserves the right to cancel or postpone the Journey when reasonably necessary, including because of insufficient enrollment, circumstances affecting participant safety, significant travel disruptions, or events that make operation of the Journey impracticable. If SHEM Consulting cancels the Journey, participants will be informed promptly and advised regarding refunds or credits available for payments made to SHEM Consulting, taking into account amounts recoverable from third-party suppliers and applicable law. Unless otherwise required by law or expressly agreed in writing, SHEM Consulting is not responsible for independently purchased airfare, insurance premiums, passport or visa expenses, or other personal expenses associated with the Journey. For this reason, participants are strongly encouraged to purchase appropriate travel insurance and refundable or flexible airfare whenever possible.

 

13. Participant Conduct Beyond the Monuments is intended to provide a welcoming, respectful, safe, and culturally meaningful group experience. Participants are expected to treat fellow travelers, hosts, guides, staff, local communities, religious and cultural sites, and service providers with respect. Participants must comply with applicable laws, reasonable safety instructions, and rules established by hotels, transportation companies, attractions, religious sites, and other venues. SHEM Consulting reserves the right, to the extent permitted by law, to remove a participant from an activity or the Journey when the participant’s conduct creates a substantial safety concern, materially disrupts the group experience, violates applicable law, or seriously interferes with the rights or wellbeing of others. Additional costs resulting from such removal may be the participant’s responsibility.

 

14. Personal Property Participants are responsible for safeguarding their passports, money, jewelry, electronics, luggage, medications, and other personal belongings. Participants are encouraged to use hotel safes where available and maintain appropriate insurance for valuable personal property.

 

15. Photography and Media Photographs and videos may be taken during the Journey for documentation, memories, educational purposes, and possible promotional use. Participants will be provided an opportunity to communicate their preferences regarding the promotional use of identifiable photographs or recordings of them. Where separate consent is required by applicable law, appropriate consent will be obtained.

 

16. Pre-Departure Zoom Orientation A pre-departure Zoom orientation will be offered before the Journey. During the orientation, we will review the itinerary, packing recommendations, travel preparation, cultural considerations, logistics, expectations, safety information, and participant questions. Participants are strongly encouraged to attend the orientation or review any materials subsequently provided. Participants remain responsible for reviewing all pre-departure communications and meeting applicable travel requirements and deadlines.

 

17. Changes to Personal Travel Arrangements Participants who independently arrive late, depart early, miss scheduled transportation, or otherwise alter their participation are responsible for resulting arrangements and expenses. SHEM Consulting cannot guarantee reimbursement for unused services resulting from a participant’s personal schedule changes.

 

18. Assumption of Ordinary Travel Risks International travel involves inherent risks, including transportation delays, unfamiliar environments, weather conditions, illness, accidents, changes in local conditions, and other circumstances that cannot always be predicted or controlled. By choosing to participate, each participant acknowledges the ordinary risks associated with international travel. This acknowledgment does not waive rights that cannot lawfully be waived and does not excuse negligence or other responsibility where liability cannot legally be excluded.

 

19. Accuracy of Participant Information Participants are responsible for providing accurate registration, passport, contact, emergency, and other information requested in connection with the Journey. Names provided for reservations should match the participant’s passport or other travel documents where required. Participants should promptly notify SHEM Consulting if relevant information changes.

 

20. Terms and Participant Agreement These Terms & Conditions, together with the registration form, Cancellation & Refund Policy, and any additional participant agreement or waiver executed in connection with the Journey, govern participation in the Journey. If any provision is determined to be unenforceable, the remaining provisions will continue to apply to the extent permitted by applicable law. Any governing-law, venue, dispute-resolution, limitation-of-liability, or other specialized legal provisions will apply only as stated in the final agreement and as permitted by applicable law.
